Step 1: Purchase Google Workspace Go to workspace.google.com and sign up for Business Starter ($7/user/month). Use your secondary cold email domain (not your primary business domain). You will need to verify ownership by adding a TXT record to your DNS. Step 2: Create email accounts Create two to three email accounts per domain. Use realistic, professional names that match the persona your cold emails will come from. First name plus last name at domain (sarah.chen@yourdomain.com("mailto:sarah.chen@yourdomain.com")) is the standard format. Step 3: Configure MX records Google provides MX records during the setup process. Add them to your domain's DNS. These records tell other email servers where to deliver incoming mail for your domain. The standard Google MX records point to gmail-smtp-in.google.com and its backup servers. Step 4: Set up SPF Add the Google Workspace SPF record to your DNS: v=spf1 include:_spf.google.com ~all. This authorizes Google's servers to send email on behalf of your domain. Verify it is working with the SPF Checker. Step 5: Set up DKIM In the Google Admin Console, navigate to Apps > Google Workspace > Gmail > Authenticate Email. Generate a DKIM key (2048-bit recommended). Copy the generated DNS record and add it to your domain's DNS as a TXT record. Return to the Admin Console and click "Start Authentication." Allow 24 to 48 hours for DNS propagation. Step 6: Set up DMARC Add a DMARC TXT record to your DNS. Start with: v=DMARC1; p=none; rua=mailto:dmarc-reports@yourdomain.com. Verify with the DMARC Checker. Step 7: Configure account settings For each email account, log in to Gmail and add a professional signature (text only, no images). Set the time zone correctly. Optionally, upload a professional profile photo, which displays in some email clients and adds a trust signal. Step 8: Connect to warmup Connect each account to your warmup tool using App Passwords or OAuth, depending on the tool's requirements. Begin warmup immediately.

Common mistakes to avoid

Do not skip DKIM setup — it is the most commonly missed authentication step. Do not add multiple SPF records (only one per domain is allowed). Do not start sending campaigns before warmup is complete.
