What to Do When Your Warmed Account Gets Suspended
Account suspensions happen, even to well-managed accounts. Here is how to handle them and get back online.
Account suspensions happen, even to well-managed accounts. Here is how to handle them and get back online.
Why suspensions happen
Google Workspace and Microsoft 365 may temporarily suspend an account that triggers their abuse detection systems. Common triggers include: sudden volume increases, high bounce rates, spam complaints, unusual sending patterns (sending at 3 AM when the account typically sends during business hours), and activity flagged as bot-like.
Immediate response
Do not panic. Most suspensions are temporary. Read the suspension notification carefully — it typically explains the reason and provides steps to restore the account. For Google Workspace: You may need to verify your identity, acknowledge the terms of service, or complete a CAPTCHA. Access the Google Admin Console to check the account's status and follow restoration instructions. For Microsoft 365: You may need to reset the password, complete a CAPTCHA, or wait for the temporary suspension to lift (usually 24 to 48 hours). Access the Microsoft 365 Admin Center for account status.
Root cause analysis
After restoring the account, investigate what caused the suspension. Was there a volume spike? Did a campaign generate unusual bounce rates? Did warmup volume combined with campaign volume exceed safe limits? Fix the root cause before resuming sending.
Post-suspension warmup
After a suspension, treat the account as partially reset. Reduce campaign volume to zero. Increase warmup volume. Run warmup-only for 5 to 7 days. Then gradually reintroduce campaign volume at lower levels than before the suspension.
When to retire an account
If an account has been suspended multiple times, its reputation may be permanently compromised. Replace it with a fresh account and start the warmup process from scratch. Warm Inboxes provides replacement inboxes quickly for situations exactly like this.
Prevention
Keep volume within safe limits. Ramp up gradually. Monitor bounce rates. Use verified lists. Keep warmup running. These basics prevent the vast majority of suspensions.
