How to Set Up Multiple Google Workspace Accounts for Cold Email

Scaling cold email with Google Workspace requires setting up multiple accounts correctly.

Scaling cold email with Google Workspace requires setting up multiple accounts correctly.

Account structure

Create 2 to 3 email accounts per domain (e.g., sarah@yourdomain.com, james@yourdomain.com, mark@yourdomain.com("mailto:mark@yourdomain.com")). Each account should have a realistic name, profile photo, and email signature.

Setting up additional accounts

In Google Admin Console, go to Directory > Users > Add New User. Fill in the first name, last name, and email address. Set a strong password and enable 2-factor authentication.

Configuring each account

Log into each account individually. Set up the display name. Add a profile photo (realistic headshot). Create a simple email signature. Enable DKIM for the domain (this applies domain-wide, not per account). Connect to your warmup tool and cold email platform.

Account differentiation

Each account should look like a real person's inbox. Send a few personal emails from each account. Reply to some emails. Create some calendar events. This organic activity supplements the automated warmup.

The domain-to-account ratio

Keep 2 to 3 accounts per domain. More than 3 accounts on a single domain concentrates risk — if the domain reputation drops, all accounts are affected. Use the Cold Email Volume Calculator to determine the optimal number of domains and accounts for your target volume.
