How Microsoft Sorts Email: Focused Inbox vs Other
Microsoft 365 and Outlook use a two-tab system: Focused and Other. Understanding this system helps you reach the Focused tab.

Microsoft's Focused Inbox
Focused: Important, relevant messages that the user is likely to engage with. Other: Lower-priority messages, bulk mail, and automated notifications.
How Microsoft determines Focused vs Other
User behavior: Microsoft learns from the user's past behavior. If they frequently read and respond to emails from a sender, those emails go to Focused. If they ignore them, they go to Other. Sender reputation: Senders with strong reputation and positive engagement signals are more likely to reach Focused. Content analysis: Marketing language, promotional content, and bulk patterns push toward Other. Message characteristics: Personalized, text-based, one-to-one messages are more likely to reach Focused.
How to reach the Focused tab
The strategies are similar to landing in Gmail's Primary tab: plain text, personalized content, strong authentication, and positive engagement signals. Warmup is particularly important for Microsoft — when warmup accounts move your emails from Other to Focused (or from Junk to Inbox), it trains Microsoft's algorithm to trust your sender.
The "not junk" signal
When a Microsoft user moves your email from Junk to the Inbox (or from Other to Focused), it generates a powerful positive signal. Quality warmup tools that perform this action for Microsoft accounts specifically are more effective at building Microsoft deliverability.
