What Is a Feedback Loop and How to Set One Up

A feedback loop (FBL) is a system that notifies you when recipients mark your email as spam. Setting up FBLs gives you real-time visibility into complaint rates and helps you protect your sender reputation.

How feedback loops work

When a recipient marks your email as spam, the email provider sends a notification back to you (the sender) through the feedback loop. This notification includes the recipient's email address and details about the complaint. You can then remove that person from your list and investigate what caused the complaint.

Why FBLs matter for cold email

Without a feedback loop, you are flying blind on complaints. You might not know your spam rate is climbing until your deliverability has already been damaged. FBLs give you early warning so you can take corrective action before the damage compounds.

Setting up feedback loops

Microsoft operates a robust FBL program called Junk Mail Reporting Program (JMRP) through their Smart Network Data Services (SNDS) portal. Sign up and register your sending IPs to receive complaint notifications from Outlook and Hotmail recipients. Gmail does not offer a traditional FBL for individual senders. Instead, use Google Postmaster Tools to monitor your aggregate spam rate. This gives you the same directional information — is your complaint rate healthy or dangerous? Yahoo also operates an FBL program through their Complaint Feedback Loop portal.

What to do with FBL data

Immediately remove complainers from your list. Analyze patterns — are complaints concentrated in a specific campaign, list segment, or time period? Use this data to adjust your targeting, copy, frequency, and opt-out mechanisms. FBL data is a gift — it tells you exactly what is hurting your reputation so you can fix it.
