How to Recover From a Deliverability Crash

Your emails are going to spam. Your open rates have plummeted. Your domain reputation has tanked. Here is the recovery playbook.

Your emails are going to spam. Your open rates have plummeted. Your domain reputation has tanked. Here is the recovery playbook. Step 1: Stop sending immediately Continuing to send from damaged accounts compounds the problem. Pause all campaigns from the affected domains and accounts. This is not optional. Step 2: Diagnose the cause Run a full deliverability audit. Check authentication with the SPF Checker and DMARC Checker. Check blacklists with the blacklist checker. Check DNS with the DNS Checker. Review the campaign that preceded the crash — what changed? New list? New copy? Higher volume? Identify the trigger. Step 3: Fix the root cause If authentication is broken, fix it. If you are blacklisted, request delisting. If your list had bad data, re-verify everything. If your content triggered filters, rewrite it. Do not restart sending until the root cause is resolved. Step 4: Increase warmup Boost warmup volume on affected accounts to 40 to 50 warmup emails per day. The goal is to generate a high volume of positive engagement signals to counterbalance the recent damage. Run aggressive warmup for at least 14 days before resuming campaigns. Step 5: Restart slowly When you resume sending, start at a fraction of your previous volume. Send 5 to 10 cold emails per day per account and slowly ramp back up. Monitor deliverability at every step using the deliverability checker. Step 6: Monitor aggressively Test deliverability daily during recovery. Watch Google Postmaster Tools for reputation changes. Check blacklists frequently. Any sign of relapse should trigger an immediate reduction in volume.

When recovery is not possible

Some domains are too damaged to recover. If your domain reputation has been Bad on Google Postmaster Tools for more than four weeks despite recovery efforts, it may be faster to replace the domain entirely. Warm Inboxes provides fresh, prewarmed domains that let you rebuild your infrastructure without waiting months for a damaged domain to recover.

The timeline

Recovery typically takes two to six weeks for moderate damage. Severe damage (major blacklisting, prolonged Bad reputation) may take two to three months or may require domain replacement.
