Routing criteria
Geographic: Route replies from US prospects to the US team, EMEA prospects to the EMEA team. Account size: Route enterprise replies to senior AEs, mid-market to standard AEs, SMB to SDRs. Industry vertical: Route healthcare replies to the healthcare specialist, finance replies to the finance specialist. Account ownership: If the company already has an assigned owner in the CRM, route to that owner. Round-robin: For equal distribution, rotate replies among team members.
Implementation
Step 1: Define routing rules in a decision tree. Step 2: Implement in your cold email tool's webhook or API. When a reply is received, the webhook fires, triggering a routing workflow in Zapier, Make, or n8n. Step 3: The workflow evaluates the prospect data against routing rules and notifies the appropriate handler via Slack, email, or CRM task.
The routing speed imperative
Routing must be instantaneous. If a reply sits in queue for hours while the system figures out who should handle it, you lose the speed advantage. Implement and test routing before launching campaigns.
