How to Build a Cold Email Quality Assurance Process

Quality assurance (QA) prevents costly mistakes — wrong personalization, broken variables, list errors — from reaching prospects.

Quality assurance (QA) prevents costly mistakes — wrong personalization, broken variables, list errors — from reaching prospects.

Pre-send QA checklist

Variable check: Send a test email and verify all personalization variables ({{firstName}}, {{company}}, etc.) render correctly. Check for any {{empty}} variables that indicate missing data. Grammar and spelling: Review the email for typos, grammar errors, and awkward phrasing. Read it aloud. Link check (if applicable): Click every link in the test email. Verify they work and lead to the correct destination. Mobile rendering: View the test email on a mobile device. Is it readable without scrolling? Are there any formatting issues? List review: Spot-check 10 to 20 records in your prospect list. Are the names correct? Are the companies current? Are the titles accurate? Suppression check: Confirm the list has been cross-referenced against your suppression list. Volume check: Confirm the campaign volume does not exceed safe limits when combined with warmup and other campaigns. Sending schedule check: Confirm the emails will send during business hours in the recipient's time zone.

Two-person QA

For important campaigns, have two people review. The person who built the campaign is often blind to their own errors. A fresh set of eyes catches mistakes.

The cost of QA skipping

A broken variable that sends "Hi {{firstName}}" to 500 prospects is embarrassing and unprofessional. A wrong company reference that mentions the wrong company name can damage relationships. Five minutes of QA prevents hours of damage control.
