Microsoft's filtering layers

Microsoft uses a multi-layered filtering system called Exchange Online Protection (EOP), supplemented by Microsoft Defender for Office 365 for enterprise customers. These systems evaluate authentication, reputation, content, and behavior.

Authentication requirements

Like Gmail, Microsoft checks SPF, DKIM, and DMARC. Microsoft has been particularly aggressive about enforcing DMARC alignment in recent years. Emails that fail DMARC with a policy of quarantine or reject will be filtered accordingly.

The SCL (Spam Confidence Level)

Microsoft assigns a Spam Confidence Level score (0 to 9) to every incoming email. Lower scores are more likely to reach the inbox. Higher scores land in junk or are rejected. The SCL is determined by a combination of content analysis, reputation data, and sending patterns.

The Focused vs Other inbox

Microsoft's equivalent of Gmail's tabbed inbox is the Focused and Other split. Important, personal emails land in Focused. Less important or bulk-looking emails land in Other. Cold emails that look like personal correspondence have a better chance of landing in Focused.

IP reputation weight

Microsoft places more weight on IP reputation than Google does. Because Google Workspace and Microsoft 365 use shared IP pools, this is generally not a problem for cold emailers using these platforms. However, if you use a third-party SMTP relay, IP reputation becomes a critical factor.

How to optimize for Microsoft

Send plain text emails from properly authenticated domains. Keep emails short and conversational. Avoid HTML templates and multiple links. Do not use images. Send from warmed accounts with positive engagement history. Keep volume per account within safe limits.
