The data on length

Multiple studies show that cold emails between 50 and 125 words in the body generate the highest reply rates. Emails under 50 words can feel too abrupt and lack sufficient context. Emails over 150 words are skimmed or ignored because prospects do not invest time in reading long messages from strangers.

The ideal structure

Opening line: 1 sentence (15 to 25 words). Personalized and relevant to the prospect. Value proposition: 1 to 2 sentences (25 to 40 words). Specific outcome you deliver. Social proof (optional): 1 sentence (15 to 25 words). Brief mention of a similar company or result. CTA: 1 sentence (10 to 20 words). Simple question. Total: 65 to 110 words.

When shorter is better

Follow-up emails should be shorter than the first email. By Follow-up 3 or 4, your email might be 30 to 50 words. The breakup email can be as short as 20 words. Emails to C-suite executives should be under 50 words in the body. Executives have the least time and the most email.

When longer is acceptable

When sharing a detailed case study or technical insight (Follow-up 2 or 3, not Email 1). When the prospect has already shown interest and asked for more information (reply to their question with necessary detail).

The test

Read your email on your phone. If you have to scroll to see the full email, it is too long. The entire email should be visible on a mobile screen without scrolling.
