Cold email has its own language. If you are new to outbound or training a team, this glossary covers every term you will encounter in 2026. A A/B Test — Sending two variations of an email (different subject lines, body copy, or CTAs) to compare performance and determine which version generates better results. ABM (Account-Based Marketing) — A strategy that focuses outbound efforts on a defined set of target accounts rather than a broad market. Authentication — The process of verifying that an email is legitimately sent from the domain it claims to come from. Includes SPF, DKIM, and DMARC. Autoresponder — An automatic email reply triggered by an incoming message, such as an out-of-office response. B Blacklist — A database of IP addresses or domains identified as sources of spam. Being blacklisted severely damages deliverability. Check your status with the free blacklist checker. Bounce — An email that fails to reach the recipient's mailbox. See Hard Bounce and Soft Bounce. Breakup Email — The final email in a cold email sequence, signaling that you will not follow up again. Buying Committee — The group of stakeholders involved in a B2B purchase decision. C CAN-SPAM Act — U.S. law governing commercial email, requiring truthful headers, opt-out mechanisms, and physical address. Catch-All — An email server configuration that accepts emails sent to any address at a domain, even if the specific mailbox does not exist. Cold Email — A targeted, unsolicited email sent to a prospect with no prior relationship for business purposes. CTA (Call to Action) — The specific action you ask the prospect to take, typically a reply or meeting. D Deliverability — The ability of your emails to reach the recipient's inbox rather than spam or promotions folders. Test yours with the free deliverability checker. DKIM (DomainKeys Identified Mail) — An authentication protocol that uses cryptographic signatures to verify that an email was not altered in transit. DMARC (Domain-based Message Authentication, Reporting & Conformance) — A protocol that tells email providers what to do when an email fails SPF or DKIM checks. Verify yours with the DMARC Checker. DNS (Domain Name System) — The system that translates domain names into IP addresses. DNS records are where SPF, DKIM, and DMARC are configured. Check yours with the DNS Checker. Domain Rotation — Using multiple domains for sending to distribute volume and reduce the risk of any single domain being flagged. E Email Warmup — The process of gradually building sender reputation on a new email account by simulating engagement. Warm Inboxes provides prewarmed accounts ready for outbound. Engagement Signals — Actions recipients take — opens, replies, clicks — that email providers use to evaluate sender quality. ESP (Email Service Provider) — The platform that hosts your email, such as Google Workspace or Microsoft 365. F Feedback Loop — A system where ISPs report spam complaints back to the sender. Follow-Up — A subsequent email in a sequence sent after the initial outreach. G GDPR (General Data Protection Regulation) — EU regulation governing personal data collection and email communication. Graymail — Email that is technically solicited but consistently ignored by the recipient. H Hard Bounce — An email that permanently fails to deliver because the address does not exist. I ICP (Ideal Customer Profile) — A description of the type of company most likely to buy your product. Inbox Placement Rate — The percentage of sent emails that land in the recipient's primary inbox. Inbox Rotation — Distributing sends across multiple email accounts to avoid overloading a single account. InMail — LinkedIn's paid messaging feature for reaching people outside your network. Intent Data — Behavioral signals indicating a company is actively researching a solution. L Lead Enrichment — Adding additional data points (company size, tech stack, revenue) to a prospect record. O Open Rate — The percentage of delivered emails that are opened by recipients. Opt-Out — A mechanism allowing recipients to request removal from your email list. P Personalization — Customizing email content to the individual recipient based on their role, company, or situation. Positive Reply — A response indicating interest in continuing the conversation. Prospect — A potential customer who matches your ICP and has been identified for outreach. R Reply Rate — The percentage of delivered emails that receive a response. Ramp-Up — The process of gradually increasing sending volume on a new or recovering account. S SDR (Sales Development Representative) — A sales team member responsible for outbound prospecting and meeting booking. Sender Reputation — A score assigned to your email account or domain by email providers based on sending behavior and engagement. Sequence — A pre-planned series of emails sent to the same prospect over a defined period. Soft Bounce — A temporary delivery failure, often caused by a full inbox or server issue. Spam Complaint — When a recipient marks your email as spam, sending a negative signal to email providers. Spam Trap — An email address used by ISPs or anti-spam organizations to identify senders with poor list hygiene. SPF (Sender Policy Framework) — An authentication protocol that specifies which IP addresses are authorized to send email on behalf of a domain. Check yours with the SPF Checker. Spintax — Syntax that creates multiple variations of a phrase, used to make each email unique and avoid pattern-based spam detection.
