Best Time to Send Cold Emails in Different Time Zones
When your prospects span multiple time zones, send timing becomes a logistics challenge. Here is how to handle it.
When your prospects span multiple time zones, send timing becomes a logistics challenge. Here is how to handle it.
The principle
Always send based on the recipient's local time zone, not yours. An email arriving at 9 AM local time for the prospect gets the same benefit regardless of whether it is 6 AM or midnight for you.
Time zone optimization
US East Coast (ET): Send between 8:00 and 10:00 AM ET. US West Coast (PT): Send between 8:00 and 10:00 AM PT (11:00 AM–1:00 PM ET). UK (GMT/BST): Send between 8:00 and 10:00 AM London time. Europe (CET): Send between 8:30 and 10:30 AM CET. Australia (AEST): Send between 8:00 and 10:00 AM AEST. India (IST): Send between 9:00 and 11:00 AM IST.
How sending tools handle time zones
Most cold email tools (Instantly, Smartlead, Saleshandy) support time zone-aware sending. When uploading your prospect list, include a timezone column. The tool will schedule each email to arrive during the specified window in the recipient's local time.
When you are targeting multiple zones in one campaign
Segment your list by time zone. Either use the tool's timezone feature or create separate campaigns for each zone with appropriate sending schedules. Do not send to a US East Coast prospect on a schedule optimized for Pacific Time.
